Soliciting conference bids for AGILE 2028

AGILE is calling for bids to organise and host the AGILE conference in 2028, hereby inviting all interested parties to submit an expression of interest to host the event. AGILE encourages its members, and potentially interested organisations or institutions, to consider this hosting opportunity.

An expression of interest should contain the name of the organisation, contact information (person, email), potential period of the event (preferably June, but May is also possible), and event location(s) suitable for a number of workshops and parallel sessions.

A bid for conference organization should contain more detailed information, as can be found below.

After acceptance of a bid, the successful bidder will sign a negotiated memorandum of understanding (MOU) with the AGILE council. In return, the AGILE council will provide a conference handbook with the accumulated wisdom of last conference organisers and delegate an AGILE council member to serve as liaison during the preparation of the event.

The closing date for all bids is January 10, 2027. The council will make a decision in its January council meeting with negotiations expected to be finalized before the AGILE conference 2027. The winning bid will be presented at the last day of the AGILE conference.

 

Details on expected content of a bid

  • Name and short introduction of the organisation
  • Contact information (Contact person(s), address, email, website)
  • Local organising committee
  • Scientific programme committee chairs – list persons you would like to contact or have contacted already
  • Conference theme
  • Proposed dates
  • Venue and facilities (please include number of seats and pictures or link to a website)
  • Potential social events
  • How to reach the location (options)
  • Breadth of accommodation options
  • Catering facilities
  • Budget (including expected registration fees)
  • Potential sponsors

Please be aware that there are a few fixed matters:

  • There is a conference liaison from AGILE council.
  • The conference website is part of the AGILE website
  • The cost of publication per paper is fixed (separate contract with TIB as part of framework contract)
  • The structure of conference (workshop day, dinner, last day is a half day) is fixed
  • There is sponsoring by ESRI and AGILE for the icebreaker event
  • AGILE is known for its reproducibility check of accepted full papers - this must be incorporated into the timeline.
